Common mistakes: Choosing a PMS based on the sales demo instead of integration capabilities. The PMS that looks prettiest in a demo isn't always the one that connects cleanly to every other tool in your stack.

Common mistakes: Installing a dynamic pricing tool, accepting the defaults, and never touching it again. Default settings are generic. Your properties aren't.

Why you need it: Consistent, timely communication improves guest satisfaction and reviews. It also saves you from answering the same questions hundreds of times per year.

OwnerRez has built-in messaging that handles most use cases well. Hospitable offers more sophisticated AI-powered responses. Host AI and ProhostAI are newer entrants using large language models to handle complex guest inquiries.
Common mistakes: Making automated messages sound automated. Template variables help, but the tone and timing matter more than most operators realize. Also, over-messaging. Five pre-arrival messages is too many.
What it does: Generates unique access codes for each reservation, eliminates key handoffs, and provides an audit trail of property access.

Common mistakes: Buying smart locks before confirming they integrate with your PMS. Also, not having a backup access method (physical key in a lockbox) for battery failures or connectivity issues.

Common mistakes: Not connecting your cleaning platform to your PMS calendar. If turnovers aren't auto-scheduled based on actual checkout times, you're relying on someone remembering to update the cleaning schedule manually. That someone will eventually forget.

Manual filing is an option for operators in a single jurisdiction with simple tax rules. It stops being practical when you operate across multiple markets.
Common mistakes: Assuming Airbnb handles all your tax obligations. Airbnb collects and remits in many jurisdictions, but not all. And VRBO, Booking.com, and direct bookings often don't handle tax remittance at all. You need a solution that covers every booking source.
What it does: Protects your properties and business against liability, property damage, and loss of income.
Why you need it: Standard homeowner's insurance typically excludes short-term rental activity. Platform protection programs (Airbnb's AirCover) have significant gaps and limitations. Professional STR insurance covers what those programs don't.

Safely provides damage protection focused on guest-caused damage.
Common mistakes: Relying solely on Airbnb's AirCover. It's better than nothing, but it's not a replacement for proper insurance. Read the exclusions carefully.
What it does: Detects noise levels, occupancy patterns, and cigarette smoke to prevent party damage and neighbor complaints.
Why you need it: One party can cost thousands in damages and get your listing suspended. Noise monitors provide early warning and evidence if things go wrong. Some markets now require them.
